Resume Writing - How to write a Resume (For freshers)

Purpose of your Resume:

    Your resume is your chance to highlight your accomplishments and communicate how you can use your expertise to help someone else. A resume is a self-marketing tool. So you must make sure it's clear, concise and up to date. With some organizations receiving hundreds of thousands of and millions of resume for a job every year, it’s important that your resume should stand out and gets read.

       So what is the best way to create your resume? Resume is a self-marketing tool. Your resume should showcase your expertise, your technical skills and your job and project experiences. The HR or the person who is interviewing you for the company will be scanning your resume may for a maximum of 30 seconds only. So it's your duty to prepare your resume in a perfect manner so that all your skills are clearly seen by the recruiters. Let us discuss how to write your resume professionally.

Steps to follow while writing your resume:

  •   Pick the right resume format and layout.
  •   Mention your personal details and contact information.
  •   Use your resume summary objective.
  •   List your work experiences and achievements and also your certification details.
  •   Mention your top hardskills and softskills.
  •   Optionally you can include your hobbies and languages known  in the resume section.
  •   Craft a convincing cover letter.
  •   Proof-read your resume and cover letter.

There are so many resume building tools in which you can build your own resume.

(You can choose any available professional template of your choice).

Many people write the heading as resume on the top of the page. You are not supposed to write it.

Let us see the must have sections of the resume in detail:

Communication details section:

       In this section, you have to mention your name and correspondence address. The difference between correspondence address and permanent address is that the correspondence address is where all your communication should happen.

        For example if you stay in Bangalore currently and your native place is Chennai. Bangalore will be your correspondence addresses and Chennai will be your permanent address. Your address should be in the top left corner of the page, your email and mobile number should be in the top right corner.

Communication details section should include:

  •    Name
  •    Correspondence Address
  •    Email
  •    Mobile Number

Note: When you are giving your email-id, make sure it’s active and professional decent one. If you have your LinkedIn or Skype ID, you can also mention that. Mention your mobile number which you use frequently and it is always active.

Objective section:

        The resume objective in a nutshell is the goal of your resume. It communicates your motivation for getting into a new field. The resume objective should be around 2 to 3 sentences. You have to mention your career goals in your objective.

Sample objective:


“To work for an organization that provides me the opportunity to improve my skills and knowledge to growth along with the organization’s objective.

 Educational qualification Section:

Your education details should include:

  •     Program Name     : e.g :- B.E. in Information Technology
  •     University Name  : e.g :- Anna University
  •     Years of Passing    : e.g :- July ‘2017 – July ’2021
  •     CGPA                     : e.g :- 8.5

Note: Mention your highest degree first followed by your higher secondary and high school marks. Make sure you round off your percentage of marks to the correct figures. For example if your percentage of marks is 95.7, then you can convert it into 96 %. Make sure you convert your marks correctly so that when the company is validating your resume or when the recruiters have a cut off mark, your resume will be shortlisted correctly.

Areas of interest:

        Mention your areas of interest related to your career. When you are mentioning the areas of interest make sure you have at least 50% of exposure or knowledge of the areas of interest you have mentioned. The recruiters may shoot questions on that. For example if you are interested in digital marketing, you should have least 50% of exposure on it when you mention it on your resume.

Skills section:

        There are two types of skills you can mention here

  • Hard skills
  • Soft skills

       Hard skills are nothing but your technical skills. Soft skills are your social skills,leadership skills,problem solving and decision making skills,personality traits,communication skills,critical thinking and career  attributes etc. 

Technical Skills (E.g. for a computer science graduate)

  •    Programming Languages:- C,  C++, JAVA , Python
  •    Databases:- MySQL, Sybase, Oracle
  •    Scripting Languages :- VB Script, java Script, PERL
  •    Operating Systems:- Red Hat Linux 9.0, Windows XP and Solaris 2.0
  •    Tools and Technologies:- Front Page-2000, CGI, J2EE, JSP, CORBA
  •    Protocols:- SMTP, FTP, POP3, IMAP
  •    Others:- Socket Programming, Multithreading, SDLC, OOP, UML

When you’re listing your skills in your resume you need to follow 3 steps

1. List hard skills with experience level:

        For each hardskill, mention your proficiency level like beginner, intermediate, advance and expert. Make sure you never lie about your skill in your resume. Otherwise it is going to be pretty awkward for both of you and your recruiters. Sometimes we will have exposures to some technical skills, but do not have hands on experience on those skills, you can mention those skills also.  

2. Tailor your skills to your job: 

        You may have some awesome skills like accounting or any other extra skills that does not match your job requirements, but if you really want to mention those skills, you can mention those skills also.

3. Mention your Universal skills:

        For example if you have some universal skills like softskills or Microsoft office  or Photoshop etc. , you can mention those skills in your technical skill section.

Project details:

        This is the important section in the resume. You would have done many projects in your college.

The project details section should include:

  •       Project title
  •  Duration of the project
  •  Team Size
  •  Skills used
  •  Role in the project (i.e. whether you worked as a team leader or  team member)
  •  Description of the project (three to five sentences)


If you have done multiple projects, you can mention all the projects in your resume in the same format.

Trainings / Workshops: 

        This section you have to write in the same way as you write your project details section. The only thing which you are going to change is instead of Description of the project here it will be Learning outcomes. In the learning outcomes mention what you have learnt out of the trainings or workshops attended.

Trainings/ Workshop Section should include :

  •   Title of your Training/Workshop
  •   Duration of the Training/Workshop
  •   Skills acquired in the Training/Workshop
  •   Learning outcomes

Note: The project and trainings / Workshop attended are more important sections when it comes to an interview or recruiters’ perspective. So you need to be very careful in writing these two sections because they want to assess you on these skills only on priority.

Certifications/ Awards Section:

        Do you have any certifications or awards that make you stand out in your field? For example you would have attended webinars or received certifications from Industries. So as long as it is relevant for the position you are applying for, feel free to include all those in your resume.

        For example, if you are a Microsoft cloud engineer specialized in Microsoft Technologies or Azure solution architect, you definitely want to include all these essential certifications. Make sure you mention all the certification details you have completed.

Co-curricular activities:

        Co-curricular activities are related to your academics. For example you have done paper presentation in any symposium or you have organized some events in other colleges and would have awarded prizes. These achievements are included in this section.

Extra-curricular activities:

        If you are a NSS/ NCC student or a national level football player, you can mention those in few sentences or in few bullet points.

References:

        This is an optional section. If you have any references in the company, you can mention that.

Personal details;

The Personal details section should include

  •  Father's name
  •  Date of birth
  •  Permanent address
  •  Your language proficiency
         For example if you know to read, write and speak English you need to mention it as English: (Read/ Write/ Speak).

Note: Date of birth, marital status and hobbies are optional fields. You can also mention your nationality if you want. If company request date of birth, then you need to provide it. In some jobs, date of birth is required to validate your eligibility. In that case you need to mention date of birth compulsorily.

Declaration: 

        This section is also an optional section. If you want, you can mention it. After completing all the sections, you need to sign in your resume and below the signature you have to mention your name in capital letters. You can also mention date and place in the below left corner of the resume. The date and place is also an optional section.

To summarize your resume order and mandatory sections are:

  •   Name and Communication Details
  •   Objective
  •   Educational Qualifications
  •   Areas of Interests
  •   Technical Skills
  •   Project Details
  •   Trainings / Workshops attended
  •   Certifications/ Awards
  •   Co-curricular Activities
  •   Extra-curricular activities
  •   References (optional)
  •   Personal Details
  •   Declaration Section (optional)
  •   Signature

Formatting your Resume:

Best practices when writing a resume:    

  •  Make sure your resume is one page in length. It should not go beyond   two pages.
  •  Pick clear section headings and use it for all section headers.
  •  Leave ample white spaces especially around the margins.
  •  Use easy to read font styles.  Arial and Times New Roman are the recommended fonts.
  •  Use the right font size. As a rule of thumb use 11-12 point for body text   and 14-16 point for section headers.
  •  Save your resume in PDF format. If you save in Word format there are chances of messing up your resume format.

Checklist for Resume:

  • Does your contact section have all the must have information?
  • Is your resume in right format?
  • Is your email professional?
  • Did you include all the mandatory sections in your resume?
  • Did you mention all your educational details, achievements, accomplishments and certification details?
  • Did you tailor your resume to the job you are applying for?
  • Did you proof-read your resume for any grammar and spelling mistakes?


When you have tick marks in all the checklists, congrats,your resume is ready.
